The “Accounting and Office Assistant” supports the Accountant in general accounting and administrative tasks. This position also will support general office management, including but not limited to vendors and supplies.

1. Prepares papers for Doc-Link procedures and Plutus budget preparation:

- Checks bank statements and petty cash list of payments, gathers and matches related invoices and supporting documentation;

- Codes and scans documents ready to be uploaded into the Doc-Link system;

- Collects data and estimates for actuals and budget/forecast reviews;

2. Helps with local accounting procedures, deadlines and requirements

3. Helps with administrative issues related to property maintenance

4. Takes notes of staff and faculty about general material requests (appliances, furniture, office supplies), works on estimates and reports to Center Director for approval and order

5. Works on estimates for new vendor search (utilities, goods or services…)

6. Meets homestay providers, faculties, speakers, vendors for payments and signing of contracts/receipts

7. Data entry of bank payments

8. Organizes and updates archive

9. File the yearly inventory asset list for the headquarter

The “Accounting and Office assistant” may also need to cover various other duties and responsibilities within the general framework of services and cultural activities. More specifically, S/he will participate in cultural programming throughout the semester (Orientation program, special events, emergency services and drills, field trips and farewell concert and dinners), and serve as chaperone on sponsored field trips.

Although work is by nature autonomous, s/he will report directly to the Accounting and Fiscal Administrator, the Assistant Director and the Center Director, respecting and implementing policies asì determined.

CCNL ANINSEI – 38 hours/week
